Minutes – Data protection and privacy

 

Minutes of the Data protection and privacy committee of Gurnard Parish Council (GPC) held on Monday 14th April 2025 at Hilton Road

 

Present: Councillors Acton (chair) Bustin, Franklin and Shaul (clerk)

 

No members of the public were present.

 

The meeting started at 18:30

There were no declarations of interests

There were no minutes from previous meetings

  1. Resolutions and actions

Although there were no formal resolutions made at this meetings, the following actions were suggested:

  1. The committee should be called the Data Protection and Privacy committee (DPP)
  2. Standard email signatures – consider adding note to privacy policy on website.
  3. Terms of reference (ToR) – A general ToR for a Data committee was distributed before the meeting. The clerk agreed to review this and check for consistency with standing orders and circulate an updated version.
  4. That the Clerk should be the Data processing officer (DPO)
  5. That the clerk should have full voting rights in the DPP
  6. That the DPP would not have a secretary, although the Clerk would provide administrative support.
  7. Checklist of data protection and privacy requirements for councillors – Cllr Acton and Bustin to review and re-circulate
